Why most "balance sheet generators" are lead-gen forms, not tools

Search for "balance sheet generator" and the results are dominated by Zoho, Xero, Akaunting, and Microsoft — all of them use the balance sheet template as a way to get your email address before you can download anything, because the real product they're selling is accounting software with a monthly subscription. A couple of smaller sites do offer an actual interactive form, but none of them export a structured .xlsx with the totals already wired as formulas, and none of them show you, in real time, whether the two sides of your balance sheet actually balance.

This tool is built the other way around: it's a real generator, not a landing page. There's no account, no email gate, and nothing you type is ever sent anywhere — the totals, the balance check, and the ratios are all calculated in your browser with JavaScript, and the Excel file you download keeps those same calculations as live formulas instead of static numbers.

How it works

Enter your business name, the "as of" date, and your currency. Then fill in each section — current assets (cash, accounts receivable, inventory, prepaid expenses), non-current assets (property & equipment, accumulated depreciation, intangibles, investments), current liabilities (accounts payable, credit cards, accrued expenses, short-term loans, taxes payable), long-term liabilities (long-term loans, mortgage), and equity (owner's capital, retained earnings, current year net income, owner draws). Every line is editable: rename it, change the amount, delete it if it doesn't apply, or add a new line if your books need one that isn't listed.

As you type, section totals, total assets, total liabilities + equity, the balance check, and three ratios update immediately. Turn on "Compare to a prior period" to add a second column and see the dollar change on every line — useful for a quick period-over-period review before you send the numbers to your accountant or a lender.

What a small-business balance sheet includes

A balance sheet is a snapshot of what a business owns and owes on one specific date — unlike a profit & loss statement, which covers a period of time. It follows the standard small-business layout used across US GAAP-adjacent bookkeeping: current assets (cash and anything convertible to cash within a year), non-current assets (equipment, property, and other assets held longer than a year, net of depreciation), current liabilities (what's owed within a year), long-term liabilities (loans and mortgages due beyond a year), and equity (the owner's stake — capital contributed, retained earnings, current year profit, minus any draws taken out).

The balance check, explained

The fundamental accounting identity is Assets = Liabilities + Equity. Every dollar a business owns was either borrowed (a liability) or contributed/earned (equity) — there's no third category. If the two sides of your balance sheet don't match, something was entered incorrectly or left out entirely. In practice, the most common cause is retained earnings or current year net income being wrong or missing, because that's the line that absorbs everything else: if your P&L shows a profit but you didn't carry it into equity, or if an owner draw wasn't recorded as negative, the two totals will diverge by exactly that amount. The tool flags this in red the moment the numbers don't reconcile, with that specific line as the first place to check.

Limitations — read before you rely on this for taxes or a loan application

  • Not tax or legal advice. This tool totals the numbers you enter; it doesn't validate whether an expense is deductible, whether an asset should be capitalized versus expensed, or how your jurisdiction wants depreciation calculated.
  • Not an audit, review, or compilation. A balance that reconciles to zero means your inputs are internally consistent — it does not mean the underlying numbers are accurate, complete, or GAAP/IFRS compliant. A CPA reviewing your books can catch misclassifications this tool can't.
  • No automatic depreciation schedule. Accumulated depreciation is a single number you enter (as a negative) — this tool doesn't compute straight-line or MACRS depreciation for you.
  • Single point in time. This generates one balance sheet at a time; it doesn't pull from a general ledger, track transactions, or roll forward automatically period to period.
  • Local storage only. Your draft is saved in your own browser, not synced to an account — clearing browser data or switching devices means starting over.

Frequently asked questions

Is this balance sheet generator really free, with no sign-up?

Yes. There's no account, no email gate, and no watermark. The tool runs entirely in your browser using JavaScript, and we never see or store your financial data.

What does it mean if my balance sheet is out of balance?

It means Total assets doesn't equal Total liabilities + equity, which is required by the fundamental accounting identity. The most common cause is retained earnings or current year net income being missing or wrong — the tool highlights the exact dollar difference so you can trace it.

Does the Excel export contain real formulas, or just numbers?

Real formulas. Each section total is a SUM() over its line items, total assets and total liabilities + equity are formulas referencing those subtotals, the balance check is a formula subtracting one from the other, and the ratios (current ratio, debt-to-equity, working capital) are formulas too — so editing a value in Excel or Google Sheets recalculates everything.

Can I customize the line items, or am I stuck with the default list?

Every line is editable — rename any label, change its amount, delete lines you don't need, or add new custom lines to any section. The defaults follow the standard small-business balance sheet layout, but your chart of accounts doesn't have to match it exactly.

Is this a substitute for an accountant or a GAAP audit?

No. This tool totals the numbers you enter and checks that they reconcile — it doesn't verify tax treatment, GAAP compliance, or whether an entry is classified correctly. For tax filings, loan applications, or an audit, have a CPA review the output.
