Built for how freelancers actually get paid

Every large free invoice tool — Wise, Adobe Express, Canva, Zoho, Keeper's freelancer generator, Bloom — will happily produce a PDF for you. But none of them export a reusable spreadsheet: what you get is a flattened document, not a file with formulas you can adjust later. If a client disputes a line item, or your accountant wants the numbers in Excel at tax time, you're retyping everything from scratch.

A couple of small tools in this space (InvoiceFast among them) do offer an Excel-adjacent option, but it's the paid tier — a one-time fee just to get a file you can edit. There's also no free tool we found that combines hours-times-rate billing with a deposit deduction and sales tax on the same form, which is the exact combination most freelancers need: charge for time worked, subtract what the client already put down, add tax if your state or country requires it.

How do I deduct a deposit the client already paid?

Enter the amount in the 'Deposit already paid' field. The tool calculates the total as usual, then shows a separate 'Balance due' line that subtracts the deposit — both the total and the balance are printed on the PDF and written as formulas in the Excel export.

Can I charge sales tax as a freelancer?

Yes — enter your tax rate and rename the label if needed (state sales tax, VAT, GST). Whether you're required to charge it depends on your location and business structure; this tool calculates the math but doesn't give tax advice.

Does the free version include my logo, or is that a paid feature?

Logo upload is free and included. It's stored only in your browser (as part of the localStorage draft) and embedded in your PDF and Excel export — we never see or store it.

Is the Excel file actually different from a PDF saved as .xlsx?

Yes. Line amounts are written as spreadsheet formulas (quantity × rate), the subtotal uses SUM(), and tax and the total are formulas too — so editing a number after download recalculates the totals in Excel or Google Sheets.

What if I bill hours instead of flat project fees?

Use quantity for hours and rate for your hourly rate on any line — the standard line-item table handles both. If you need start/end time tracking with overtime rules, use the Hourly Invoice Generator instead.
