The template is organized into six sheets: Instructions, Fee Settings, Inventory, Mileage & Expenses, Monthly Summary, and Dashboard. The Instructions tab explains where to enter data and how each calculated column works.

Fee Settings holds 8 editable rows, one per platform: Platform, Final value fee %, Fixed fee per order $, Payment processing %, Payment processing fixed $, and whether shipping is paid by the seller. It comes pre-filled with eBay, Poshmark, Poshmark under $15, Mercari, Depop, Facebook Marketplace, Etsy, and an Other row for anything not listed.

Inventory is a 300-row log with 21 columns: item ID, purchase date, item name, category, brand, size or variant, source, cost of goods, extra acquisition costs, listed date, list price, platform, status, sold date, sale price, shipping charged to the buyer, and shipping cost you paid. Platform fees, net profit, margin percent, and days to sell are calculated automatically for every row from what you enter and from the rates in Fee Settings.

Every input cell sits on a pale background so you always know what's safe to edit versus what's a protected formula. Nothing here requires macros or an add-in; it opens and calculates the same way in Excel and Google Sheets.

Why platform fees change your real profit, not just your sale price

The same item, listed at the same price, does not leave you with the same profit depending on where it sells. eBay, Poshmark, Mercari, Depop, Facebook Marketplace, and Etsy each charge a different combination of a percentage-based final value or transaction fee, a fixed fee per order, and in some cases a separate payment processing fee on top. A reseller who tracks profit as sale price minus cost of goods is not tracking profit at all — they're tracking gross revenue, and the gap between the two is exactly the fee structure of whichever platform the sale happened on.

This is also why a flat fee assumption breaks down inside a single platform: Poshmark, for example, doesn't apply the same fee logic to every sale, which is why the Fee Settings sheet carries a separate row for sales under a certain price threshold rather than one blanket Poshmark percentage. Bake in the wrong assumption and every item sold under that threshold shows a margin that's off by a fixed amount, order after order.

The template's Inventory sheet solves this by pulling the matching platform's fee formula for every row from Fee Settings and applying it to that specific sale, so net profit and margin percent reflect what actually landed in your account rather than a single blended fee rate applied across every platform you sell on.

Profit by platform and by category on the Dashboard

The Dashboard tracks 9 KPIs: total items in stock, total cost of goods sitting in stock, items sold, gross sales, total platform fees, total net profit, average margin percent, average days to sell, and sell-through rate.

Below the KPIs, a net profit by platform breakdown (8 rows, matching the Fee Settings platforms) and a net profit by category breakdown (10 categories) let you see which platform and which type of item is actually worth your listing time, backed by a chart. A separate block nets your sales profit against the entries on the Mileage & Expenses sheet, so the final number reflects business expenses, not just item-level margin.

Mileage, monthly summary, and manual entry throughout

Mileage & Expenses is a 100-row log for sourcing trips, supplies, and other reselling costs, with a date, type, description, amount, miles driven, and an editable mileage rate. Monthly Summary rolls sales, fees, cost of goods, and net profit into 12 rows for the year you set, so you can see the trend month to month without rebuilding the totals by hand.

None of this connects to eBay, Poshmark, or Mercari, and there is no CSV import of your sales history. Every item, fee, and expense is typed in manually.
